In the unfortunate situation of the event having to cancel all entries will be refunded in full minus any booking fees

Entry information
All our Camps are the highlight of the Pony Club summer calendar and are intended to be fun for everyone. The aim is to provide an instructional holiday for Pony Club Members and their ponies, but with a balanced mix of enjoyable activities and competitions.
A deposit per child is payable by 28th March 2025 to secure your place at Camp. The application form is attached to this letter.
Following the deposit payment, we are once again asking for a split payment of the remaining balance.
Once the deposit is paid, please pay 50% of the remaining balance by 29th April 2025 and then the final 50% by 20th June 2025.
Please note that this year, place booking and payments must be made via the Horse-events website.
Please note that ALL MONIES DUE MUST BE RECEIVED BY 20th June 2025.
If full payment is not received by this date, you will lose your place at camp and will forfeit any monies already paid.
Main Camp
Main Camp – Monday 28th July – Thursday 31st July 2025 is available for our senior members. (Minimum age is 11years or children who are moving up to senior school in September). Campers must have attended at least one working rally with the pony to be ridden at camp for the application to be accepted.
Since this is a sleeping camp, all campers will be required to bring their own sleeping facilities i.e. tent, caravan or horsebox. No more than 4 children can share sleeping accommodation. There will always be camp mums on duty who can be contacted at any time. Please note and explain to your child/children that anyone who does not abide by the rules and restrictions will be sent home immediately. If you would rather not camp, then that is absolutely fine – you can come in daily. Ponies can be either corralled overnight at Stapleton or you can take home and bring in daily. This year ponies will be corralled in an electric fenced area. Hay will be provided.

Parent Notes
IMPORTANT INFO FOR PARENTS
PARENTS, please note that main camp is for our senior members only and parents are NOT required to stay throughout the day or night unless you are a camp volunteer. Camp organisers / assistants will always take care of all campers. All our camp volunteers are DBS checked and hold a safeguarding certificate. There will be a sign in and sign out book that must be signed whenever anyone visits camp. If any parent feels that they must attend camp overnight with their child then they must email me asap the reasons why, etc. as a DBS check and a safeguarding course would have to be arranged (at your own expense) – these often take weeks so please don’t leave it until the last minute. Please talk to me if you have any issues regarding the above so that we have plenty of time to resolve them.
Mini / Mini Mini Camp
Mini Camp/ Mini Mini Camp – Tuesday 29th July to Thursday 31st July 2025 is available for all our junior members. This is a day visiting camp 8.30am – 4.30pm.

Additional Details
All meals for campers will be provided by the Pony Club, as well as instruction, entertainment and events during the camps.
There will always be adult supervision.
This year more than ever we need parents to help. We need day and night volunteers for Senior Camp. Please contact me direct asap 07860185443 so that I can organise DBS checks for all that volunteer.
Lastly, for the camp to run smoothly and happily it is important that the rules and conditions on the application form are adhered to at all times.
Please note this year’s camp t-shirts are included in camp costs. The order form is on the next page – please fill it in and send back via email. All details are on the order form. Please do this asap so we can order them all in good time.

Terms and Conditions
We agree to abide by the rules and conditions of Main, Mini and Mini Mini Camps to be held at Stapleton Manor, Stapleton as set out below:-
• Riding Hats must be tagged with a pony club tag– issued by the District Commissioner or Secretary.
• Suitable body protectors must be worn for show jumping and cross-country instruction.
• Horse/Ponies must be 4 years of age or over.
• Horses/ponies must be fit, sound, recently shod and wormed. Unsound or otherwise unsuitable ponies will not be accepted, nor those suffering from contagious diseases.
• No camper will leave the campsite without special permission. All camp boundaries must be observed.
• Alcohol, non-prescription drugs and smoking are NOT permitted at any time in any area of the camp. For Main Campers all prescription drugs must be labelled and handed to organisers at start of camp.
• Any areas where access is not permitted will be clearly marked. Any intrusion into these areas will be strictly forbidden.
• An adult member from each family must offer help during camp together with helping to set up and clear the site. Set up day for camp to be confirmed.
It is recommended that mobile phones and other valuable personal items are not brought to camp as ZHPC will not be held responsible for any loss or damage.
The owners and management at Stapleton Manor will not be held liable for injury, accident or damage to any persons or property, however caused.
Any decision on disciplinary and other matters will be at the absolute discretion of the District Commissioner and will be final. Any breach of conditions may result in immediate exclusion from Camp for the remainder of the week without refund.
