Refund before Withdrawal date in Full, After Withdrawal date refund minus an admin fee of £20.00

In the unfortunate situation of the event having to cancel all entries will be refunded minus an admin fee of £20.00 per horse and rider combination (Booking fees are non refundable)

After the closing date please contact the event Secretary to make any changes

ENTRY

All entries are subject to a non-refundable booking fee which will be stated online on a per ticket basis.

COST

• Camp fees for entries received BEFORE 1 July 2024 – £100 per child

• Camp fees for entries received AFTER 1 July 2024 –  £125 per child

• Closing date for entries – 10 July 2024.

 

The organisers of Camp, and all those that help, are volunteers and work tirelessly throughout the year to ensure a safe and happy week for those attending.

If you have any queries or concerns please talk to one of the Camp Committee as soon as possible and we will endeavour to resolve any difficulties at the earliest opportunity.

If we are not able to resolve an issue then it will be passed on to the Cotswold Pony Club District Commissioner, Lucy Garbutt

We look forward to an enjoyable Camp 2024 for everyone involved.

Additional Details

SET UP

Set up will be on Thursday 18th July at 5pm.  Everyone must attend to make it please send a substitute or pay £50 CHPC for a teenager to do it for you. No exceptions!

 

TAKE DOWN

We are hoping to take down the vast majority of camp on Thursday afternoon / evening.  Izzi and Kathryn will be co-ordinating operations. If you need to leave early on the Thursday then you MUST return on Friday morning at 9.30am to help with the final clear up / moving trailers

 

Equipment

CHILDREN

• Mini Camp is for children 2-6 years and over on and off the lead rein.

• Children must be accompanied at camp by a responsible adult at all times.

PONIES

• Ponies must be 5 years of age and over.

• Please make sure that all ponies have been recently shod.

• Coughing ponies will be sent home.

• Ponies must have been recently wormed

EQUIPMENT

• Bridle complete with a neck strap (and grass reins if required)

• Saddle complete

• Hay in haynet

• Waterbucket

 

 

 

Dress

RIDERS

• Hat/skull cap – it is mandatory for all Members to wear a protective helmet manufactured to The Pony Club standards which can seen HERE. Hats must be ‘tagged’ with a PINK tag to show they have been checked by a senior Pony Club official.

• Hard hats must ALWAYS be worn by any child in the pens with the ponies

• Correct dress:  Pony Club sweatshirt and tie, long sleeved shirt, gloves and hairnet for girls.

• Jodhpurs – beige, navy or black, riding or jodhpur boots

• Body protector. Body Protectors used for Cross Country must meet BETA 2009 Level 3 standard (purple label) or BETA 2018 Level 3 standard (blue and black label. For more information, please read HERE

• Waterproof coat/jacket

• NAMED WATER BOTTLE

ARRIVAL

On arrival please drive straight through the farmyard to the parking field beyond.  No Ponies should be taken down the centre aisle of the barn, all access for ponies is through the external doors to pens.

PARKING

We are very lucky to be able to use Oxpens for Junior Camp – it is a working farmyard and therefore absolutely NO PARKING or DROPPING OFF is allowed in the yard by the barn or on the opposite side of the drive to the barn at any time.  Harvest tractors use the area at all times and must have unfettered access.  If we do not adhere to this we greatly jeopardise being able to hold camp here in the future.  Please Park only in the allocated parking field beyond the farmyard.  We cannot be held responsible for trailers left at camp over-night.

 

DOGS

Dogs are NOT allowed at camp at the request of Stowell Estate

 

Timetable

RIDES/TIMETABLE

• Each ride will have approximately 8 children of a similar level.  If your child can attend at least one Pre-Camp Rally it will help us assess which ride they will be happiest in.

• The Camp runs from 9.30am to 3pm (with the exception of Thursday morning).  Morning riding starts at 10.00am with a short break for buns, with lunch at 1pm.

• Ponies and children come down to the barn at lunchtime so bring a haynet and a packed lunch.

• After lunch there will be more riding, stable management or games and finish at 3pm. If your child needs to finish at lunchtime, please let your instructor know at the beginning of that day.

• TUESDAY:  lessons, rides, games, stable management and lots of fun.

• WEDNESDAY:  children ride across Stowell Park down to the river where they will have fun and games with lunch.  You will need to bring a packed lunch with you.

• THURSDAY:  11.30am – A later start this morning to allow for a later finish and prize giving with juniors! There will be late morning games unmounted games and instruction, lunch and afternoon riding.  At approximately 3.30-4pm there will be a presentation of prizes in the barn.  Please bring your riding hat and either pony club jumper or a hacking jacket (if you have it) to prize-giving.

• On FRIDAY 26th – please return to Oxpens at 9.30am to help clear up, take down show jumps and ringed arenas.

 

 

Vaccination Policy

Biosecurity

Passports and Equine Influenza: A reminder that any horse or pony attending a Pony Club activity must be accompanied by their passport. The first and second Equine Flu vaccination injections must have been given and, if needed, correct subsequent booster injections.  The Pony Club/BEF’s rules will apply and Passports will be spot checked to ensure all horses/ponies are up-to-date with their annual vaccinations. Those not complying will be turned away.  Please have your pony/horse’s passport with you and be ready to show the immunisation schedule.

BEHAVIOUR

Camp is run by volunteers with the aim being that all those involved (including organisers and instructors) have an enjoyable time.  Bad behaviour and language will not tolerated and may result in the person concerned / or their child being asked to leave Camp.
