The Cotswold Pony Club Junior Camp 2024

All entries are subject to a non-refundable booking fee which will be stated online on a per ticket basis.

COST

• Camp fees for entries received BEFORE 1 July 2024 – £210 per child

• Camp fees for entries received AFTER 1 July 2024 –  £250 per child

• Closing date for entries – 10 July 2024

The organisers of Camp, and all those that help, are volunteers and work tirelessly throughout the year to ensure a safe and happy week for those attending.

If you have any queries or concerns please talk to one of the Camp Committee as soon as possible and we will endeavour to resolve any difficulties at the earliest opportunity.

If we are not able to resolve an issue then it will be passed on to the Cotswold Pony Club District Commissioner, Lucy Garbutt

We look forward to an enjoyable Camp 2024 for everyone involved.

SET UP

Set up will be on Thursday 18th July at 5pm.  Everyone must attend to make it please send a substitute or pay £50 CHPC for a teenager to do it for you. No exceptions!

TAKE DOWN

We are hoping to take down the vast majority of camp on Thursday afternoon / evening however, there is likely to be some final tidying up / trailers moving to be done on Friday morning so we are asking that all Junior Camp parents return to Oxpens on Friday morning at 9.30am to help move trailers and do the final clear up.

CHILDREN

• Junior Camp is for children 6 years and over and off the lead rein.

• Please stay at camp in the morning until the rides have gone out if your child needs help to tack up and mount.  This will ensure that rides can depart on time.

• Children who cannot manage their pony on their own in an open field must be accompanied at camp by a responsible adult.

• To attend Pony Club Camp, it is helpful if children have attended some Pony Club Rallies before camp so we can place them in the correct ride.  The more rallies your children attend the better able they can be placed in an appropriate ride. Please be aware that the purpose of the ridden Rallies is to look at all the children and their ponies so a fair assessment of the combination’s ability can be made.

PONIES

• Ponies need to be fit enough to work for several hours each day.

• Ponies must be 5 years of age and over.

• Please make sure that all ponies have been recently shod.

• Coughing ponies will be sent home.

• Ponies must have been recently wormed, have all vaccinations up to date and bring their passports with them

EQUIPMENT

• Bridle complete with a neck strap (and grass reins if required)

• Saddle complete

• Strong headcollar and lead rope

• Grooming kit

• Water bucket

• Hay in haynet

• Tack cleaning kit with small bucket

• Skip/fork/wheelbarrow for skipping out

All tack must be in a good and safe condition and all items should be clearly labelled

RIDERS

• Hat/skull cap – it is mandatory for all Members to wear a protective helmet manufactured to The Pony Club standards which can seen HERE. Hats must be ‘tagged’ with a PINK tag to show they have been checked by a senior Pony Club official.

• Hard hats must ALWAYS be worn by any child in the pens with the ponies

• Correct dress:  Pony Club sweatshirt and tie, long sleeved shirt, gloves and hairnet for girls.

• Jodhpurs – beige, navy or black, riding or jodhpur boots

• Body protector. Body Protectors used for Cross Country must meet BETA 2009 Level 3 standard (purple label) or BETA 2018 Level 3 standard (blue and black label. For more information, please read HERE

• Waterproof coat/jacket

ARRIVAL

On arrival please drive straight through the farmyard to the parking field beyond.  No Ponies should be taken down the centre aisle of the barn, all access for ponies is through the external doors to pens.

PARKING

We are very lucky to be able to use Oxpens for Junior Camp – it is a working farmyard and therefore absolutely NO PARKING or DROPPING OFF is allowed in the yard by the barn or on the opposite side of the drive to the barn at any time.  Harvest tractors use the area at all times and must have unfettered access.  If we do not adhere to this we greatly jeopardise being able to hold camp here in the future.  Please Park only in the allocated parking field beyond the farmyard.  We cannot be held responsible for trailers left at camp over-night.

LUNCH/REFRESHMENTS

Please bring your own refreshments / packed lunches for each day of camp.

TIMETABLE

• Camp runs from Monday to Thursday inclusive.  8:30am-4:30pm daily

• Monday morning briefing at 8:30am to ride at 9am.  This must be attended by all children and a parent/guardian for each child as it will outline the agenda for the week, safety issues, dos and don’ts etc.

• The timetable may change from previous years – the week’s activities will be outlined at the Monday briefing

• Wednesday will be an AWAY DAY at Ace XC. This has been included in the cost of camp

• On Friday 26th – please return to Oxpens at 9.30am to help clear up, take down show jumps and ringed arenas.

Biosecurity

Passports and Equine Influenza: A reminder that any horse or pony attending a Pony Club activity must be accompanied by their passport. The first and second Equine Flu vaccination injections must have been given and, if needed, correct subsequent booster injections.  The Pony Club/BEF’s rules will apply and Passports will be spot checked to ensure all horses/ponies are up-to-date with their annual vaccinations. Those not complying will be turned away.  Please have your pony/horse’s passport with you and be ready to show the immunisation schedule.
