Camp is generally geared towards children who are riding independently and can carry out basic stable management and care of their own pony. But all children are welcome.
1. All attendees at Camp need to be current DFHPC members: a. The quickest way to renew your membership is via the Member Portal https://portal.pcuk.org
2. Payments and the Medical Forms will all be completed via Horse Events as part of your application. If you are paying in installments you must pay the deposit first, then 1st installment, then final balance in that order
3. Pony flu vaccinations – Please ensure you get your vet to check your pony’s vaccination record to ensure they comply with the pony club rules. It is necessary to check that their initial course is compliant not just their annual boosters. Pony club vaccination rules can be found on the pony club website.
4. We are keen to get the whole club together, but if you have a younger child and you feel they can not manage all 4 days then you are welcome to take them home when suits you. But you need to let us know so we an idea for rides. We are keeping the camping element to DFHPC, in which all members over the age of 10 years are invited to camp independently. Any members wishing to camp who are under the age of 10 will require a responsible parent to be in attendance. All parents wishing to camp will be required to have a PVG check. The riding format of camp will as normal start at 9.30pm and finish at 4.30pm
5.Please ensure your child's Personal Profile is completed and submitted to the club before camp (the form will be made available to you all)
Tuesday 08th July – lunch and children who wish to camp will have dinner provided. All others are welcome to stay for dinner and activites but you must let us know what you are doing. Usual games and activities will be organised. Parents that are staying can pay to have food supplied but those who are day visitors should bring a packed lunch
Wednesday 09 July – Breakfast, Lunch and Dinner will be provided. (as above for evening) Parents that are staying can pay to have food supplied but those who are day visitors should bring a packed lunch
Thursday 10 July – Breakfast and Lunch will be provided. Parents that are staying can pay to have food supplied but those who are day visitors should bring a packed lunch Ponies and children will go home at the end of the day.
Friday 11th July – All members invited for day of unmounted fun & games. Parents & club sponsors will be invited for the afternoon. We will have a strict sign out policy, any child must be signed out before leaving.
Riding Hats All hats MUST comply with Pony Club Hat Rule. Hats must be tagged with a pink PC Hat Tag. If your hat is not already tagged please bring it to Camp Set Up for checking and tagging. Children will be unable to ride without the correctly approved and tagged hat. Body Protectors Although Pony Club rules state that body protectors only have to be worn for cross country we recommend that body protectors are worn at all times when riding. All body protectors must meet BETA 2018 Level 3 standard (blue and black label).
Stirrup Rule Please note that all stirrups will need to meet the requirements of The Pony Club Stirrups Rule: https://files.pcuk.org/email_resources/2022/The-Pony-Club-Stirrups-Rule-v22.1.0.pdf. Dress and Tack Please make sure you follow the requirements as detailed in The Pony Club Dress and Tack: https://pcuk.org/officials/health-and-safety/dress-and-tack/. We ask that all children wear beige or solid colour jodhpurs. Please note that any clothing or jackets with hoods are not to be worn for riding. RIDER Riding Hat (as detailed above) Body protector (as detailed above) Pony Club t-shirt / jumper. Jodhpurs – beige or solid colour. Jodhpur boots and chaps (if worn) or long boots Long hair to be tied back or in a hairnet. Whip / stick, if required Gloves Wellington boots and waterproof coat (if rain is forecast!) Sun cream etc. (if it’s warm and sunny!) Baseball / sun hat refillable water bottle Camping equipment – tent / caravan / horsebox etc and all that entails! Changes if clothes.
WATER BOTTLES We are keen to be green this year so all children should have 2 refillable water bottles with them that can be kept topped up. LABELLED CLEARLY

Communication
Communication will be predominantly by a WhatsApp group set up, this is for the organisers to convey information and answer queries and also planning for meals / activities etc.
You will find the CAMP 2025 group in the DFHPC WhatsApp community.
HELP NEEDED We will circulate a request for help. But if there is something in particular you would like to help with then get in touch early! This help is critical to making camp work and most people find it rewarding and enjoyable. Roles include stewarding a ride (assisting the instructor and children as needed), providing instructors’ lunches, organising snacks and meals, setting up/ taking down overnight camping, etc.
Camp set up will be on Sunday 06th July Monday 07th July. Final day: Friday 11th July Parents are asked to help with Camp breakdown and clearance.
Arrival time 8.30am, for 9:30 start with your instructor
Feed time 0830am
Lunch Time – ALL PONIES TO BE UNTACKED WITH HAY AND WATER.
Collection time for children who are not staying will be 4.30pm HOWEVER all Children not staying overnight are welcome to stay for dinner and evening activities
Horses and children to be collected by 5pm on Thursday 10th July.
Liability: Save for the death or personal injury caused by the negligence of the organisers, or anyone for whom they are in law responsible, neither the organisers of this event or The Pony Club nor any agent, employee or representative of these bodies, nor the landlord or his tenant, accepts any liability for any accident, loss, damage, injury or illness to horses, owners, riders, spectators, land, cars, their contents and accessories, or any other person or property whatsoever, whether caused by their negligence breach of contract or in any other way whatsoever. Entries are only accepted on this basis.
Health and Safety: Organisers of this event have taken reasonable precautions to ensure the Health and Safety of everyone present. For these measures to be effective, everyone must take all reasonable precautions to avoid and prevent accidents occurring and must obey the instructions of the organisers and all the officials and stewards.
