Burton Pony Club Camp 2025 

Willow Banks Equestrian, Pelham Road, Claxby, LN8 3YR.

Seniors – 27th -30th July 2025

Juniors – 28th-30th July 2025

Pony Club camp 2025 will once again be at Willow Banks Equestrian. For those who haven’t been to Willow Banks before, it is just north of Market Rasen with several arenas, gallops and a choice of stabling or penning for ponies. 

The price including meals is:

 

Seniors

Stabling £350/Penning £295

Juniors

Stabling £295/Penning £205

 

Stabling is inclusive of 2 bales of shavings per stable. Hay will need to be provided for both stabled and penned ponies.

Parents stay overnight (between 5pm and 10am) but are free to leave during the day, if they’d like to.

This year we will be doing a trip to the nearby Winter’s Equestrian to use their extensive XC course. There is a wide variety of jumps including water, suitable for all ages and abilities. Parents will need to transport their children and ponies from Willow Banks to Winter’s. For anyone who doesn’t want to do XC there is an option to stay at Willow Banks instead.

 

Places can be secured with a non-refundable deposit of £45 via Horse Events by 21st March 2025.

The remaining balance must be received in full, by 1st July 2025 by bank transfer. If you would like to pay in installments then let us know and payments can be made at any time via bank transfer.

Any cancellations after 1st July will not be refunded unless we can fill the space. 

 

Also attached is the camp application formplease return this once you have paid your deposit.

There will be the opportunity to purchase personalised camp T-Shirts and other items from JS Team Wear. Once this is available, we will circulate a link.

Accommodation

After the success of previous camps where parents stayed over, we have decided to repeat the format again so parents will need to stay over to provide supervision at night.

• You will need to provide your own tent/lorry/caravan and suitable warm bedding, camp beds/air beds.

• If a younger sibling needs to attend with the parent this is permitted providing, they always remain under direct supervision of the parent. No dogs allowed.

• Camping chairs, a table and a camping stove would be useful should you require cooking facilities.

• We will have use of a function room at Willow Banks to congregate, or shelter from the sun (or rain!) for dismounted and social activities in the evenings

• Toilets and shower/wash facilities are available on site!!!

• Horses and ponies will be stabled. 

• You will have to provide your own hay and feed. 

• First 2 bales of shavings will be included in the cost any additional bales may be purchased for approximately £9 – £9.50 per bale.

 

Catering

 

• All meals are included in the price for members attending. However, there will be no lunch provided on your first day of camp. Therefore, please ensure you bring a packed lunch for your first day.  

• Please let us know of any dietary requirements. 

• Meals will be available for parents/siblings at camp at extra cost, details will follow. 

This year we are hoping to have our own little tuck shop selling sweets and drinks.

Please bring cake to camp to share with your friends. If you bring these to the marquee on arrival. We normally have a fantastic spread of scrummy cakes to enjoy!

Rallies/Camp qualification

• If this is your first camp, we recommend that you have previously completed either 2 pony club rallies or have attended training sessions – this is so that the instructors know you and your pony, and so that you know other pony club members and have already made some friends.

Vetting and Vaccinations

• Horses and ponies will be subjected to a ‘health and lameness check’ before entry to camp is permitted.  If there are doubts on either score, entry may be refused.  Please be aware that your pony/horse needs to be fit enough to cope with 2 -3 rides most days.

 

• We insist your horse/pony should be vaccinated against Equine Flu; this is compulsory. Vaccinations must be up to date and in line with correct vaccination timings – minimum of the first two vaccinations must have been given and not given in the 7 days prior to entering camp, along with subsequent boosters – currently a 12-month time span.

• Pony passports must be brought with you to camp 

To ensure that your passport is correct, up to date and to avoid any disappointed children upon arrival, we are asking that you please photograph or photocopy your passport details; horse ID and complete vaccination history to be sent along with your camp application, so we can check the details. If this information is not received your pony will not be able to attend camp.

 

 

Programme

There will be organised activities including ridden and dismounted training between 10am and 5pm. Campers will be expected to care for their ponies.

There will be some time to chill out with your friends in the evening and there will also be some, ‘more or less’ organized activities in the evening -.

For both the junior and senior presentations riders will need to dress In PC shirt/tie, cream/beige jodhpurs etc.

Supervision

Parents will be fully responsible for their own children between 5pm and 10am. If you cannot be onsite for any reason between those hours, you should have appointed another responsible adult to relieve you and informed/signed out with the organizers. 

No parent can be left responsible for more than 3 children, including their own child/children.

Please make sure your emergency contact details and all medical information is accurate and complete on the Application Form.

When the members are caring for their ponies they will be supervised by a PC official and all members will be in a troop system so older members can help younger troop members if required. 

Could you please let the children do their own ponies during this time without parent help as this is part of the camp experience. Obviously if there are any issues about this please discuss this with Rosie

HELP!!!               

It is a real juggling act for those parents and instructors who willingly give their time before, during and after to ensure that all our children have a great time whilst they are at camp.   We would kindly ask that every family give just a few hours to help in some way during the weekend. Whether it be, helping set up or clear up before and/or after camp.   There are a million and one things which need doing!

Health and Safety: Organisers of this event have taken reasonable precautions to ensure the Health and Safety of everyone present. For these measures to be effective, everyone must take all reasonable precautions to avoid and prevent accidents occurring and must obey the instructions of the organisers and all the officials and stewards.
