Hook up parking will be in allocated area on the far side of the campsite. Please comment if you want to be parked by anyone particular.

Refund, Withdrawals & Entry Changes
In the event of a team entering the Championships and subsequently withdrawing, the expectation must be that the entry fee will not be refunded. However, in some situations some refund may be made at the discretion of the chairman.
In the unfortunate situation of the event having to cancel all entries will be refunded minus an admin fee of £1.00 per horse and rider combination (Booking fees are non refundable)
Refunds in the event of abandonment/cancelation will be proportionate to the costs incurred at the time of abandonment.
In the event of insufficient entries, all entry money less a £1 admin fee per person will be refunded.

Location
Stabling:
Stabling on site, in temporary stables, is available from midday Thursday 8th August until 10am Monday 12th August. These will be allocated on a ‘first come…’ basis, last year they sold out and a waitlist had to be held. BOOK EARLY
Stables are £110 per stable for a maximum of 4 nights, which will include straw. The use of shavings or paper bedding is strongly discouraged
Stables must be labelled with the name of the player, Branch and the name of the pony. We will provide the completed labels but must have all the relevant information.
Please indicate in the “Branch or team to be stabled with/near field” on each Pony whether you would prefer the pony to be stabled with your branch or team if it is different to the Team Name and Section above, as we will endeavour to stable people together if possible.
A valid passport and vaccination record must accompany the horse/pony to this event and must be available for inspection if required by event officials at any time. Vaccinations must be in accordance with the Pony Club Polo Rule Book 2024
Players are responsible for the care of their ponies at all times, ensuring they are regularly fed, watered, and have clean, dry bedding.
At the end of the Championships, all stables and stable area must be left clean and empty of all bedding and rubbish. The area will be checked before departure and individuals will be charged by Cowdray Estate for clearing up.

Legal Liability
LEGAL LIABILITYSave for death or personal injury caused by the negligence of the Organisers, or anyone for whom they are in law responsible, neither the Organisers of any event to which these rules apply, nor the Pony Club, nor any agent, employee or representative of these bodies, accepts any liability for any accident, loss, damage, injury or illness to horses, owners, riders, spectators, land, cars, their contents and accessories, or any other person or property whatsoever, whether caused by their negligence, breach of contract or in any other way whatsoever.
Health & Safety
The Organisers of this Event have taken reasonable precautions to ensure the health and safety of everyone present. For these measures to be effective, everyone must take all reasonable precautions to avoid and prevent accidents occurring and must obey the instructions of the Organisers and all the Officials and Stewards.

Please ensure your members comply with eligibility and hat tagging rules and have a responsible adult present.
Late entries may be accepted at the organiser’s discretion.
Queries may only be raised via the Organiser by the DC or their appointee. Protests / objections will be managed as per Rule 4.11.
Photographic Rights – competitors and their parents/guardians have given permission for any photographic and/or film or TV footage taken of persons or horses/ponies taking part in Pony Club events to be used and published in any media whatsoever for editorial purposes, press information or advertising by or on behalf of the Pony Club and/or Official Sponsors of the Pony Club.
