Refund, Withdrawals & Entry Changes

In the event of a team entering the Championships and subsequently withdrawing, the expectation must be that the entry fee will not be refunded. However, in some situations some refund may be made at the discretion of the chairman.

In the unfortunate situation of the event having to cancel all entries will be refunded minus an admin fee of £1.00 per horse and rider combination (Booking fees are non refundable)

Refunds in the event of abandonment/cancelation will be proportionate to the costs incurred at the time of abandonment.

In the event of insufficient entries, all entry money less a £1 admin fee per person will be refunded.

Trade Stands

Would you be interested in taking a stand at The Pony Club Polo 2024?

We have had stands over the past few years at some of our events.  This year we are offering:

Friday 9th, Saturday 10th and Sunday 11th August at Cowdray Park Polo Club, Midhurst in West Sussex.

We charge £50 a day per stand and 10% of your taking to our chosen charity.  You can do 1 day or all of them, it’s up to you!

You will need to bring a gazebo, table and anything else you think appropriate.

The days start around 9am and go onto 3/4pm.  Lots of children plus parents & grandparents, friends, organisers etc…

The Cowdray Party

On Saturday night, in the main marquee, from 7pm-10pmish, there will be food, drink, a disco and a Bucking Bronco for all to enjoy, kindly organised by Zahra Lucas and team.

The party has always been a hugely popular, highly anticipated element of the Cowdray Championships and tickets may have to be limited.

Children and their behaviour, high spirits apart, are the responsibility of their parents or nominated responsible adult at all times during this event.

Entry will be by ticket only and will need to be purchased in advance.  Wristbands will be allocated and need to be worn as proof of purchase.  These will be checked by security on arrival at the party.  Please book as follows:

 

Dogs on the campsite:

Once again, dogs will be allowed to stay at the campsite for a fee.

All dogs must wear a collar and be on a lead at all times.  Without exception they must be cleared up after and anyone seen to abuse any of the rules will be fined for each transgression. All money will be donated to our chosen charity, James’ Place.  Persistent offenders will be asked to remove their dogs from the site.

Coloured bands will be allocated to each dog and must be worn on their collar, without exception

 

Campsite Wristbands

Campsite Wristbands:

Each player will be provided with 3 campsite wristbands included in their entry fee.  These must be worn at all times, are non-transferable and are necessary as an extra security measure.

With regards to security and health and safety we do need to know who is staying on site and so would ask that you fill in personal details below for all your wristbands.

Additional wristbands are available to buy at £11 per band.

To be run in accordance with Pony Club Polo Rules 2023

Please ensure your members comply with eligibility and hat tagging rules and have a responsible adult present.

Late entries may be accepted at the organiser’s discretion.

Queries may only be raised via the Organiser by the DC or their appointee. Protests / objections will be managed as per Rule 4.11.

Photographic Rights – competitors and their parents/guardians have given permission for any photographic and/or film or TV footage taken of persons or horses/ponies taking part in Pony Club events to be used and published in any media whatsoever for editorial purposes, press information or advertising by or on behalf of the Pony Club and/or Official Sponsors of the Pony Club.

A valid passport and vaccination record must accompany the horse/pony to this event and must be available for inspection if required by event officials. Vaccinations must be in accordance with the Pony Club Polo Rule Book 2023
