Refund, Withdrawals & Entry Changes

Withdrawal Date: 02/08/2024


In the event of a team entering the Championships and subsequently withdrawing, the expectation must be that the entry fee will not be refunded. However, in some situations some refund may be made at the discretion of the chairman.

In the unfortunate situation of the event having to cancel all entries will be refunded minus an admin fee of £1.00 per horse and rider combination (Booking fees are non refundable)

Refunds in the event of abandonment/cancelation will be proportionate to the costs incurred at the time of abandonment.

In the event of insufficient entries, all entry money less a £1 admin fee per person will be refunded.

Entry information

All entries should be made online using www.horse-events.co.uk. 

For Pony Club entries you will need players’ membership numbers and Branch/Centre to enter, and they must be declared on Pony Club Polo 2024  Declarations with the correct HPA handicap, if any.

Horse and/or rider changes change class or cancel and entry before the closing date can be made online by logging into your Horse Events account and editing your entry.

If you need to cancel an entry or change a class after the closing date please email info@horse-events.co.uk.

Substitutions

After the closing date for entries, substitutions may only be made as per P.C. Polo Rules 2024

Campsite passes

Campsite passes are included in the entry fee for each player – individuals are required to go to the ‘Cowdray Addons’ to fill in the details for their campsite passes.  This is obligatory if they are staying on site.

Prizes & Prize Giving

There will be a presentation and prize giving at the end of play and after their parade on Saturday 10th August 2023 for Jorrocks & JOPPS. Prizes in kind.

There will be a presentation and prize giving after the finals on Sunday afternoon, 11th August for Handley Cross, Surtees, Loriner/Rendell, Langford and Gannon.  Prizes in kind.

Entry Conditions

• To be run in accordance with Pony Club Polo Rules 2024

• Please ensure your members comply with eligibility and hat tagging rules and have a responsible adult present.

• Late entries may be accepted at the organiser’s discretion.

• Queries may only be raised via the Organiser by the DC or their appointee. Protests / objections will be managed as per Rule 4.11.

• Photographic Rights – competitors and their parents/guardians have given permission for any photographic and/or film or TV footage taken of persons or horses/ponies taking part in Pony Club events to be used and published in any media whatsoever for editorial purposes, press information or advertising by or on behalf of the Pony Club and/or Official Sponsors of the Pony Club.

• A valid passport and vaccination record must accompany the horse/pony to this event and must be available for inspection if required by event officials. Vaccinations must be in accordance with the Pony Club Polo Rule Book 2024

 

Terms and Conditions

LEGAL LIABILITY  Save for death or personal injury caused by the negligence of the Organisers, or anyone for whom they are in law responsible, neither the Organisers of any event to which these rules apply, nor the Pony Club, nor any agent, employee or representative of these bodies, accepts any liability for any accident, loss, damage, injury or illness to horses, owners, riders, spectators, land, cars, their contents and accessories, or any other person or property whatsoever, whether caused by their negligence, breach of contract or in any other way whatsoever.

HEALTH, SAFETY & WELFARE:

The Organisers of this Event have taken reasonable precautions to ensure the health and safety of everyone present.  For these measures to be effective, everyone must take all reasonable precautions to avoid and prevent accidents occurring and must obey the instructions of the Organisers and all the Officials and Stewards.
