Refund, Withdrawals & Entry Changes

No Refunds after the withdrawal date for whatever reason. Before this date full refunds to be given.

In the unfortunate situation of the event having to cancel all entries will be refunded per class minus an admin fee of £5.00 (Booking fees are non refundable)

Entry Information

All entries are subject to a non-refundable booking fee which will be stated online on a per class basis.

If you would like to edit your horse or rider details change class or cancel your entry before the closing date of the event please login to your Horse Events account and edit your booking under the ‘EDIT ENTRY’ Tab.

ENTRIES CLOSE – MIDNIGHT SUNDAY 20th April 2025.  Late entries may be allowed if space permits, but will be subject to a late entry fee of £5 per competitor (all classes).  On-the-day entries will not be possible.

 

 

Qualifiers

Sunshine Tour Qualifier Details

This show is a qualifier for The Sunshine Tour Championships held at The All-England Showground, Hickstead from Thursday 11th – Sunday 14th September 2025. The Championships are for unaffiliated and amateur competitors in Dressage from Intro to Elementary, Show Jumping from Lead Rein to 1.0m; Showing for lead rein, in-hand, ridden, working hunter, veterans, plus many more, Eventer’s Challenge from 50cm through to 90cm.

Qualification: Dressage & Show Jumping 1st – 3rd place; Showing & Eventers Challenge 1st – 4th place. Qualification does not pass down the line.

Registration of qualification must be completed within 1 month of competition (sooner for late July shows). Restrictions apply to both horse and competitor’s previous winnings and amateur status, please check the website for Terms & Conditions.

Class format

ALL CLASSES ARE INDOORS ON A SURFACE.  WARM-UP IS OUTSIDE ON A SURFACE.

THE COMPETITION

The competition comprises a course of Show Jumps immediately followed by a course of simulated Cross Country fences.

The Winner will be the competitor with the lowest number of penalties.

In the event of a tie, the Winner will be based on the following:

Class 1 – Closest to Optimum time based on a speed of 300mpm

Class 2 – Closest to Optimum time based on a speed of 300mpm

Class 3 – Closest to Optimum time based on a speed of 300mpm

Class 4 – Closest to Optimum time based on a speed of 325mpm

Class 5 – Closest to Optimum time based on a speed of 350mpm

Class 6 – Closest to Optimum time based on a speed of 350mpm

Class 7 – Closest to Optimum time based on a speed of 375mpm

 

Course Walk

COURSE INSPECTION – the course will be available for inspection from 08.30 hrs on Sunday 27th April.

Times and Numbers

START TIMES – will be available after 19.00hrs on Friday, 25th April on Pony Club Results, on the OBH (South) website https://branches.pcuk.org/oldberkeleysouth/events/ or by calling 07770 476773 between 19.00 and 21.00 hrs on Friday 25th April.

COMPETITOR NUMBERS – Competitors must print off their own numbers.  A template is available to print numbers from Pony Club Results  https://www.ponyclubresults.co.uk/  For those without a cross country bib, please ensure the number is printed on stiff card, in a large font and displayed on the front and back of the competitor.  It must be clearly visible to the judges.

Dress

DRESS – Cross Country kit – so body protectors and hats without fixed peaks are mandatory.

SPURS – CANNOT be worn by Pony Club members unless they have a Spurs Hat Tag.  No exceptions will be accepted.

TACK INSPECTION – There will be a tack inspection but competitors (or accompanying adult) are responsible for the safety and compliance to Pony Club rules, of their equipment.

STOP WATCHES – may not be used.

 

 

On the Day

RESULTS – available on the day on Pony Club Results https://www.ponyclubresults.co.uk/

Rosettes may be collected at the end of each Class – once the results are finalised.  If you want your rosette posted you must put your name and address on an envelope at the Secretary’s tent and leave £1.60 to cover pack and postage cost.

Terms and Conditions

Rules

  1. Event to be run under Pony Club Rules 2025, a copy of which can be seen at https://pcuk.org/pony-club-rule-books/
  2. Age is taken as at 1st January 2025.
  3. No horse/pony under the age of 5 years may compete.
  4. No horse/pony may compete more than once in each class.
  5. Horse/pony and rider combinations wanting to compete in two classes may do so, but the classes MUST be consecutive heights.
  6. No outside assistance is permitted in the 60cms and above classes
  7. The decision of the Organiser, Judges and Stewards will be final.
  8. Save for the death or personal injury caused by the negligence of the organisers, or anyone for whom they are in law responsible, neither the organisers of this event or The Pony Club nor any agent, employee or representative of these bodies, nor the landlord or his tenant, accepts any liability for any accident, loss, damage, injury or illness to horses, owners, riders, spectators, land, cars, their contents and accessories, or any other personal property whatsoever, whether caused by their negligence, breach of contract or in any other way whatsoever.  Entries are only accepted on this basis.
  9. All non-Pony Club competitors are not covered by The Pony Club insurance and must have their own third-party cover.  The OBH(S) Branch of The Pony Club and the organisers of this event are not legally responsible for non-Members and their insurance will not cover you.
  10. The Organisers reserve the right to refuse entry without giving any reason, cancel or alter the times of classes or to withdraw any horse thought to be in an unsound or unsuitable condition.
  11. All withdrawals must be made via Horse Events. After the Closing Date, no cancellations will be accepted. Should the event have to be cancelled, for whatever reason, a £5 cancellation fee (to cover costs incurred) will be retained on all refunds.
  12. All competitors must be suitably dressed in correct riding attire and in a jockey skull cap with no fixed peak. The hat must comply with current Pony Club rules and must be worn correctly  https://resources.pcuk.org/rules/
  13. Gaiters or half chaps may be worn. Body protectors are compulsory for all Cross Country phases. https://resources.pcuk.org/rules/. As a minimum, shoulders must be covered.
  14. Air vests – if you wear an air vest, it must only be used in addition to a normal body protector and, in the event of a fall, it must be fully deflated or removed before continuing. If using an air vest, an elasticated number bib must be worn, this to be provided by the competitor.
  15. Head Cams may NOT be worn.
  16. Jewellery is only allowable in accordance with Pony Club Rules. https://resources.pcuk.org/rules/
  17. It is advised that you wear a medical armband if you are unaccompanied.
  18. There will be a brief tack inspection, but please note, Competitors (or the accompanying adult) are responsible for their equipment safety and compliance to Pony Club rules.
  19. Dogs must be kept on the lead at all times and are not allowed in the Viewing Gallery under any circumstances

Health & Safety

The Organisers of this event have taken every reasonable precaution to ensure the health & safety of everyone present. For these measures to be effective, everyone must take all reasonable precautions to avoid and prevent accidents occurring and must obey the instructions of the Organisers, all Officials and Stewards. Any accident on the premises of Merrist Wood, however small, must be reported by e-mail to the Organiser: aesandford@yahoo.co.uk. The Organisers may take such action as they feel necessary to protect the health and/or safety of horses and/or riders, or anyone attending the event.
