Refund, Withdrawals & Entry Changes

Withdrawal Date: 28/06/2024


As per the Rules: for a team or individual withdrawn before the closing date, there will be a full refund of the entry fee less an admin fee of £5 . After the closing date, no refunds will be made without a Doctor or Vet certificate being emailed to horse-events by midday on Tuesday 16th July (If the medical / vet certificate is not received in time, there will be no refund). All refunds minus £5 admin fee. 

In the unfortunate situation of the event having to cancel 50% of your entry fee will be refunded, minus any Booking fees.

It is the responsibility of the DC/Team Manager/ Parent or Guardian/ Member to ensure that the combinations are eligible for the classes entered.

After the closing date, please email all queries to the Organisers: Late entries may be allowed at the discretion of the Organisers with an additional fee of £10. Late entry requests to be made to Caitlin Ogle please.

NUMBERS:

It is preferred that all competitors wear number bibs, with numbers front and back; number may be printed from ponyclubresults.co.uk. If you do not have a printer, then please use a thick black felt pen to draw your number.  Bridle numbers on both sides of the bridle, may be used.

Branch/Centre has a valid vaccination record – please see Rules and Regulations. Failure to do so may result in elimination from the Area competition.

Prizes & Prize Giving

There will be no scoreboards at the event but live scoring will be live online via  ponyclubresults.co.uk.

Times for prize giving ceremonies will be announced on the WhatsApp Area Dressage group (one mobile number, per entry, provided with the entries will be used to add you to the Group)

Attendance at prize giving is compulsory for all those competitors who have been placed. Turnout for prize-giving must be in the appropriate riding clothes as per the Rules.

Open: individuals 1st – 8th / teams 1st – 4th

Intermediate: individuals 1st – 8th / teams 1st – 4th

Novice: individuals 1st – 10th / teams 1st – 6th

Rules

RULES AND REGULATIONS

PASSPORTS: horses/ponies will not be allowed to compete without their passport with valid flu vaccinations – please ensure they are compliant with Pony Club rules. Passports will be spot checked for compliance. A horse with a non-compliant passport will NOT be allowed to compete and there will be no refund of entry. Please allow time for passport checking.

N.B. Please be aware that travelling your horse (unless an emergency) without the horse’s own passport, means that you are liable for a fine of up to £5000 and/or up to two years imprisonment.

NUMBERS: rider numbers must be printed out by each competitor – if wearing a number bib please wear your number front and back. If the number is to be put on the saddlecloth – please do A5 size and wear both sides. If the number is to be worn on the back of the rider, then please print at least A5 size. Numbers to be printed/written as large as possible in dark ink please.     It is preferred that bridle numbers are NOT used as they are difficult to see from a distance.

1. Teams to be made up of 3 or 4 combinations, with the best three scores to count.

2. Substitutions allowed – please see page 12 of the current Dressage Rules Book

3. The Organisers reserve the right to refuse entry, alter the order of the classes, cancel classes and/or limit entries.

4. Closing date for entries – Friday 28th June 2024 After the closing date, withdrawal refunds will only be given on receipt of a relevant doctor/vet certificate received by horse-events midday on Tuesday 16th July 2024. – please scan and email relevant certificates to Horse-events.

ALL refunds will be subject to an administration fee. (£5 per combination/class)

5. TIMES/DRAWN ORDERS WILL BE GIVEN – please see the Croome Hunt P.C. website (branches.pcuk.org./croome) from Wednesday 10th

July (not before 19:00)

6. Competitor numbers MUST be visible at all times whilst mounted.

7. Stallions are allowed with prior permission from the Organisers. Any stallion ridden by a Pony Club member must have written permission from their DC/Centre Proprietor which must be sent to the Organisers prior to the show day. Stallions must wear stallion discs and ribbons.

All horse/ponies must be at least 4 years old on day of competition.

8. Turnout for ALL Pony Club members and horses should be as in the Pony Club Rules for Dressage 2024.   Rules available on the main Pony Club website.

9. SPURS: ALL spurs worn anywhere on the showground, by any competitor, must comply with Pony Club rules. Misuse of spurs by any competitor will be recorded and reported and may result in disqualification from the competition.

10. Any abuse of horses/ponies, officials, other competitors, or members of the public will not be tolerated and those found doing so will be asked to leave the venue with no compensation and may be reported to the relevant authority.

11. Any objection must be handed to the Secretary in writing with a £50 deposit (which will be forfeited if the objection is not upheld) within 30 minutes of the scores being published.

12.INSURANCE: please ensure that you have adequate/appropriate insurance for rider, horse, property and third party.

13. PHOTOGRAPHS: by entering this competition you are agreeing to be photographed whilst competing; these photographs may be used for future publicity. If you do not wish to be photographed, please tell the photographer before you start your test or send an email beforehand to Caitlin Ogle by Tuesday 9th July.

14. Participants attend at their own risk; neither the Croome Hunt Branch of The Pony Club nor the landowners will be liable for any loss, damage or accident to horses, riders, property, or other persons.

15. No horses/ponies should be left tied to the outside of trailers/lorries without supervision. Please clear any muck/rubbish and do not leave on the field/lorry park. Please, park all vehicles as directed.

16. Dogs – must be kept on a short lead and be under close control at all times. Please clear up after your dog.

17. The show will be run under The Pony Dressage Rules 2024. See amendments online re PC70 & PC80 eligibility

Terms and Conditions

1. Save for the death or personal injury caused by the negligence of the organisers or anyone for whom they are in law responsible, neither the organisers of this event or The Pony Club nor any agent, employee, or representative of these bodies, nor the landlord or his tenant, accepts any liability for any accident, loss, damage, injury or illness to horses, owners, riders, spectators, land , cars/ lorries/trailers, their contents and accessories or any other personal property whatsoever, whether caused by their negligence, breach of contract or in any way whatsoever.

Entries are only accepted on this basis.

2. The organisers of this event have taken all reasonable precautions to ensure the health and safety of everyone present at this event.

For these measures to be effective, everyone must take all reasonable precautions to avoid and prevent accidents. They must obey the instructions of the organisers and all officials and stewards.
