Refund, Withdrawals & Entry Changes

Withdrawal Date: 31/01/2025


Refund minus an admin fee of £4.00 up until Withdrawal date. After the Withdrawal date refunds only once a vet/medical certificate has been sent to the Organisers (must be received by 12th February 2025). Refund emails must include the following bank details: Account name, number and sort code.

All refunds are subject to an administration fee of £4 per combination per class. All refunds will be paid after the show.

In the unfortunate situation of the event having to cancel all entries will be refunded minus an admin fee of £4.00 per horse and rider combination (Booking fees are non refundable)

Dress

Pony Club Members – dress and tack as the SJ Rules 2025. Those wearing spurs must have a yellow hat tag and /or C+ Test felt with their PC badge.

Parking

Cars to park only in the Lower Car Park off the drive.

Lorries and trailers to park in lorry park near the stables. Please do not leave horse/ponies tied to the outside of lorries/trailers unattended. Please do not use hay nets on the outside of vehicles and ensure that no manure is left in the lorry park.

Prizes & Prize Giving

Prize-giving to be unmounted on the gallery, by the Judges Box, approximately 10 – 15 minutes after the end of the class.

Team information

Teams of three for all classes, with all three scores to count.

Combinations may enter a maximum of two classes at adjacent heights.

Classes One & Two – ponies may be ridden twice in these classes (by different riders) to allow for ponies shared by siblings/ friends.

Ponies/horses may only jump a maximum of three times over the day.

1. Teams to be made up of 3 combinations, with all three scores to count.

2. The Organisers reserve the right to refuse entry, alter the order of the classes, cancel classes and/or limit entries.

3. Closing date for entries – Friday 31st January 2025.

All refunds after the withdrawal date to be requested from the Organisers (croomepcshows@hotmail.com) –

Withdrawals before the closing date do not require certificates. Withdrawal refunds after the closing date, will only be given on receipt of a relevant doctor/vet certificate received by the Organisers by 12th February

ALL refunds will be subject to an administration fee (£4 per class/combination). Please give bank details (Account name, number and sort code) when requesting a refund. All refunds will be made after the show.

4. If you would like to edit your horse or rider change class or cancel your entry details before the closing date of the event, please login to your Horse Events account and edit your booking under the ‘EDIT EVENT ’ Tab.

5. If the show is cancelled due to circumstances beyond our control, refunds will be made via the Organisers. (subject to the administration fee as above)

6. TIMES/DRAWN ORDERS WILL BE GIVEN – please see ponyclubresults.co.uk by the evening of Friday 7th February (not before 19:00) Competitors may be asked to jump before their drawn order time – please be ready at least 15 mins before your given time.

7. Competitor numbers MUST always be visible whilst mounted. See NUMBERS on the schedule. Bridle numbers are NOT to be used.

8. Only one person over 16 per combination is allowed in the warm-up to assist with altering practice fences.

9. See the Class schedule for how many times a pony/horse may jump. Stallions are allowed with prior permission from the Organiser; any stallion ridden by a Pony Club member must have written permission from their DC/Centre Proprietor which must be sent to one of the Organisers by 6th September. Stallions must wear stallion discs and tail ribbons and be led with a chain. All horse/ponies must be at least 5 years old on day of competition.

10. Turnout for ALL Pony Club members and horses should be as in the Pony Club Rules for Show-jumping 2025. Rules available on the main Pony Club website.

11. SPURS: ALL spurs worn anywhere on the showground, by any competitor, must comply with Pony Club rules. Misuse of spurs by any competitor will be recorded and reported and may result in disqualification from the competition.

PC Members wearing spurs must have a yellow hat tag and/or a C+ felt.

12. Any abuse of horses/ponies, officials, other competitors, or members of the public will not be tolerated and those found doing so will be asked to leave the venue with no compensation and may be reported to the relevant authority.

13. Judges’ decision is final. Any objection must be handed to the Judges Box in writing with a £40 deposit (which will be forfeited if the objection is not upheld) within 15 minutes of the incident and BEFORE the end of that class.

14. INSURANCE: please ensure that you have adequate/appropriate insurance for rider, horse, property and third party.

15. PHOTOGRAPHS: by entering this competition you are agreeing to be photographed whilst competing; these photographs may be used for future publicity. If you do not wish to be photographed, please tell the photographer on entering the arena before you jump.

16. Participants attend at their own risk; neither the Organisers nor Hartpury University will be liable for any loss, damage or accident to horses, riders, property, or other persons.

17. No horses/ponies may be left tied to the outside of trailers/lorries without supervision. Please clear any muck/rubbish and do not leave on the field/lorry park. Please park all cars as directed – not by the lorries.

18.Preferably NO dogs – but if you must bring them, they must always be kept on a short lead and be under close control. Please clear up after your dog.

19. The show will be run under The Pony Club Show jumping Rules 2025.

DISCLAIMERS

1. Save for the death or personal injury caused by the negligence of the organisers or anyone for whom they are in law responsible, neither the organisers of this event or The Pony Club nor any agent, employee, or representative of these bodies, nor the landlord or his tenant, accepts any liability for any accident, loss, damage, injury or illness to horses, owners, riders, spectators, land , cars/ lorries/trailers, their contents and accessories or any other personal property whatsoever, whether caused by their negligence, breach of contract or in any way whatsoever.

Entries are only accepted on this basis.

2. The organisers of this event have taken all reasonable precautions to ensure the health and safety of everyone present at this event. For these measures to be effective, everyone must take all reasonable precautions to avoid and prevent accidents. They must obey the instructions of the organisers and all officials and stewards.

3. All non-Pony Club competitors are not covered by The Pony Club insurance and must have their own third party cover. The Croome Hunt Branch of The Pony Club and the organisers of this event are not legally responsible for non-Members and their insurance will not cover them.
