Refund, Withdrawals & Entry Changes

Withdrawal Date: 22/10/2024


No Refunds after the withdrawal date for whatever reason. Before this date full refunds to be given.

Refunds less entry processing fees up until entry closing date. After the entry closing date no refunds will be made without a doctor’s certificate, produced no later than 24 hours after the event. If produced after this date, no refunds will be given.

In the unfortunate situation of the event having to cancel all entries will be refunded per class minus an admin fee of £5.00 (Booking fees are non refundable)

Legal Liability

Save for the death or personal injury caused by the negligence of the organisers, or anyone for whom they are in law responsible, neither the organisers of this event or The Pony Club nor any agent, employee or representative of these bodies, nor the landlord or his tenant, accepts any liability for any accident, loss, damage, injury or illness to horses, owners, riders, spectators, land, cars, their contents and accessories, or any other person or property whatsoever, whether caused by their negligence breach of contract or in any other way whatsoever. Entries are only accepted on this basis.

The Pony Club ‘Public and Products Liability Insurance’ Policy includes cover for all the official Area Competitions and the Championships. Details of this insurance are available on The Pony Club website. In the event of any accident, loss or damage occurring to a third party or to the property of a third party (including the general public and competitors) no liability should be admitted and full details should be sent at once to The Pony Club Office.

Health & Safety

Organisers of this event have taken reasonable precautions to ensure the Health and Safety of everyone present. For these measures to be effective, everyone must take all reasonable precautions to avoid and prevent accidents occurring and must obey the instructions of the organisers and all the officials and stewards.

Additional Details

There will be no block diving, only pool side diving at this competition. It is drawn to the requirement, as specified in the Pony Club Tetrathlon Rule Book 2024, that swimmers wishing to dive will need to have submitted their evidence for diving certification (either the CSA or PCSA certificate) with their entry, and must be received PRIOR TO THE ENTRY CLOSING DATE

No evidence = no dive and swimmers will be asked to start in the water.

Team information

Teams for classes 1-9. If not already declared on entry, the branch Team Manager should declare teams either via Horse Events, or by email to Secretary.berkeleyhuntponyclub@outlook.com, before 12pm Wednesday 23rd October.

Branch teams may be mixed gender in any arrangement of boys and girls for classes 1-7, and single gender for classes 8-9. The organiser may make teams from individuals who are not in a branch team.

Terms and Conditions

GENERAL

  • To be run in accordance with Pony Club Tetrathlon Rules 2024.
  • Late entries may be accepted at the organiser’s discretion. Late Entry Surcharge £5.
  • Queries during the competition may only be raised, within 20 minutes of the scores being released, via the organisers, Emma Watson and Paula Clarke, and by your branch DC or Tetrathlon Team Manager.

 

  • Please adhere strictly to the timetable. If you miss your time, we are unlikely to be able to fit you in later.
  • Any requests for reasonable adjustment must be made before the closing date.

SHOOTING

  • Protective or prescription glasses are recommended at all levels of competition and are COMPULSORY for competitors shooting at 7m. Footwear must not extend above the ankle. Long trousers must be worn by all competitors.
  • Guns must be kept in their cases until the Firing Point Steward gives the order to “unbox” them at the start of a detail and must be “boxed” again before the competitor leaves the firing point. At all other times guns must be stored in their boxes and locked in a secure place (i.e. in a vehicle out of sight). No person under 18 years of age may be responsible for or carry a gun. Please observe the rules on Safety Flags.
  • Team Managers – Please tick the competency form online with your entries.

SWIMMING

There will be no block diving, only pool side diving at this competition. It is drawn to the requirement, as specified in the Pony Club Tetrathlon Rule Book 2024, that swimmers wishing to dive will need to have submitted their evidence for diving certification (either the CSA or PCSA certificate) with their entry, and must be received PRIOR TO THE ENTRY CLOSING DATE. No evidence = no dive and swimmers will be asked to start in the water.

  • Owing to limited space surrounding the pool and to ensure the safety of everyone, STRICTLY only one coach/parent will be allowed into the pool area.
  • Buoyancy aids are allowed in classes 1-3. If your child requires an outside lane, this should be requested on entry.
  • Outdoor shoes must be removed prior to entry to the pool changing rooms.
  • No photography or filming in the swimming pool or changing rooms.
  • Team Managers – Please tick the competency form online with your entries.

 

RUNNING          

  • All competitors will be running on grass. Numbers will be provided.

REFRESHMENTS

  • There will be hot and cold food and drinks available on site. Please support this fundraising.

DOGS

  • Strictly NO dogs allowed on site.
