Refund, Withdrawals & Entry Changes

Withdrawal Date: 03/04/2025


Refund before Withdrawal date in Full (minus any booking fees). After Withdrawal date only if a vet/medical certificate is sent to Horse Events by the date of the event.

In the unfortunate situation of the event having to cancel all entries will be refunded per class minus an admin fee of £4.00 (Booking fees are non refundable)

After the closing date please contact the event Secretary gogle@btinternet.com to make any changes

Entry information

Entry Fee: £16 per combination per class in the Small Arena  £17 per combination per class in the Main Arena

Entry Fee to include a First Aid contribution plus there will be a non‐refundable booking fee set by Horse‐Events.

Pre‐entries only: enter online at www.horse‐events.co.uk

Please enter as individuals on the Horse‐Events website ensuring you enter the name of your Branch/Centre.

All team members will also be judged as individuals.

Competition Format

*Combinations entering a 60cm class may only do Class 3 OR Class 4 (not both)

Classes will be run in the schedule order in each arena.

All classes will be run single phase and will all be on a surface.

Combinations may enter a maximum of two classes of adjacent heights.

Ponies/horse may only jump a maximum of three times over the day.

Team information

DCs/Team Managers/Centre Proprietors MUST read the following:

As entries are via horse‐events please send your teams to the Organiser by Sunday 6th April. If you require a list of your entries, please email the Organiser by 6pm on Friday 4th April; if no teams are made by the cut‐off time, the Organiser will make up (mixed) teams. If you enter a team of three, please be aware that another combination, may be added to your team, to make up a team of four.

Any requests (eg travelling together or would like to jump together or if two riding the same pony in Class One/Two which rider to jump first) to be emailed to the Organiser (gogle@btinternet.com), stating the class(es), names of riders/ponies and Branch/Centre  (no request will be fulfilled without this information) before the close of entries on Thursday 3rd April.

Times & Number template

Closing date: Thursday 3rd April 2025. Times will be posted on ponyclubresults.co.uk by the evening (not before 18:00) of Friday 11th April 2025

NUMBERS:rider numbers MUST be printed out by each competitor – if wearing a number bib please wear front and back. If the number is to be put on the saddlecloth – please do A5 size and wear both sides. If the number is to be worn on the back of the rider, then please print at least A5 size. Numbers to be printed/written as large as possible in dark ink please.

Bridle numbers are NOT to be used anywhere!!

 

Prizes & Prize Giving

Prizegiving: will be unmounted by the Pavilion. Please wear correct turnout for the presentation.

Rosettes: Individuals to 10th place. Teams to 6th place

Vaccination Policy

PASSPORTS: horses/ponies will not be allowed to compete without their passport with valid flu vaccinations – DCs/Centre Proprietors may be asked to confirm that your horse’s/pony’s flu vaccination record is correct and up to date. Passports will be spot checked for compliance. A horse with a non‐compliant passport will NOT be allowed to compete (nor will any horse/pony it has travelled to the venue with on the day) and there will be no refund of entry. Please allow time for passport checking.   Please check the Pony Club website for current rules: see Resources on the website.

 

Rules

1. Teams to be made up of 3 or 4 combinations, with the best three scores to count.

2. The Organisers reserve the right to refuse entry, alter the order of the classes, cancel classes and/or limit entries.

3. Closing date for entries – Thursday 3rd April 2025 Withdrawal refunds will only be given on receipt of a relevant doctor/vet certificate received by Horse‐events by 16th April 2025.

4. If you would like to edit your horse or rider details change class or cancel your entry before the closing date of the event, please login to your Horse Events account and edit your booking under the ‘EDIT ENTRY ’ Tab.

5. If the show is cancelled due to circumstances beyond our control, refunds will be made via horse‐events. All refunds will be subject to an administration fee (£4 per class/combination)

6. TIMES/DRAWN ORDERS WILL BE GIVEN – please see ponyclubresults.co.uk on Friday 11th April (not before18:00)Competitors may be asked to jump before their drawn order time – please be ready at least 15 minutes before your given time.

7. Competitor numbers MUST always be visible whilst mounted

8. Warm‐up – one person (over 16) per combination may alter the jumps in the warm‐up. Only those altering the  jumps may be in the arena – everyone to stand outside. There will be a maximum of eight combinations allowed in the large warm‐up for the Main Arena and a maximum of six in the warm‐up attached to the Small Arena.

9. See the Class schedule for how many times a pony/horse may jump. Stallions are allowed with prior permission from the Organiser; any stallion ridden by a Pony Club member must have written permission from their DC/Centre Proprietor which must be sent to the Organisers prior to the show day, by 5th April. Stallions must wear stallion discs and ribbons and be lead with a chain lead rope. All horse/ponies must be at least 5 years old on day of competition.

10. Turnout for ALL Pony Club members and horses should be as in the Pony Club Rules for Show‐jumping 2025. Rules available on the main Pony Club website.

11. SPURS & PADDED BATONS: ALL spurs worn anywhere on the showground, by any competitor, must comply with Pony Club rules. Only those competitors with a yellow hat tag are allowed to wear spurs. Only padded batons as specified in the PC Rules may be used anywhere on the showground. Misuse of spurs/padded batons by any competitor will be recorded and reported and may result in disqualification from the competition.

12. Any abuse of horses/ponies, officials, other competitors, or members of the public will not be tolerated and those found doing so will be asked to leave the venue with no compensation and may be reported to the relevant authority.

13. Judges’ decision is final. Any objection must be handed to the Day Secretary in writing with a £50 deposit (which will be forfeited if the objection is not upheld) within 15 minutes of the incident and BEFORE the end of that class.

14. INSURANCE: please ensure that you have adequate/appropriate insurance for rider, horse, property and third party.

15. PHOTOGRAPHS: by entering this competition you are agreeing to be photographed whilst competing; these photographs may be used for future publicity. If you do not wish to be photographed, please tell the photographer on entering the arena before you jump.

16. Participants attend at their own risk; neither the Organisers or Rectory Farm Arena will be liable for any loss, damage or accident to horses, riders, property, or other persons.

17. No horses/ponies may be left tied to the outside of trailers/lorries without supervision. Please clear any muck/rubbish (including hay) and do not leave on the field/lorry park. Please park cars as directed – not by the lorries.

18.Preferably NO dogs – but if you must bring them, they must ALWAYS be kept on a short lead and be under close control.  Please clear up after your dog.

Save for the death or personal injury caused by the negligence of the organisers or anyone for whom they are in law responsible, neither the organisers of this event or The Pony Club nor any agent, employee, or representative of these bodies, nor the landlord or his tenant, accepts any liability for any accident, loss, damage, injury or illness to horses, owners, riders, spectators, land , cars/ lorries/trailers, their contents and accessories or any other personal property whatsoever, whether caused by their negligence, breach of contract or in any way whatsoever.

Entries are only accepted on this basis.

2. The organisers of this event have taken all reasonable precautions to ensure the health and safety of everyone present at this event. For these measures to be effective, everyone must take all reasonable precautions to avoid and prevent accidents. They must obey the instructions of the organisers and all officials and stewards.
